Health care organizations operate in a complex environment, requiring modern technology to keep up with patient care and data needs, but also to maintain increasing regulatory compliance requirements. Those requirements escalate to a higher level with Federally Qualified Health Centers that face more scrutiny that comes along with government funding.

Samuel U. Rodgers Health Center is a nonprofit Federally Qualified Health Center in Kansas City, Missouri, known for providing high-quality, compassionate and affordable care to a culturally diverse community. Founded in 1968 as the first community health center in Missouri, and fourth in the nation, they now serve over 20,000 patients annually across multiple sites in Kansas City and neighboring counties.

Identifying the need for a new data approach

Sam Rodgers had a longstanding enterprise resource planning (ERP) solution, but as needs evolved, it became difficult to obtain the necessary data and insights efficiently.

“We are a Federally Qualified Health Center, so we have every kind of compliance you can think of on top of trying to run a health center,” says Christoper Walker, chief financial officer at Samuel U. Rodgers Health Center. “I run a business, and it was so onerous to get data out the way we needed. Under our previous ERP, it was weekend work. We were working weekends to get the data we needed.”

Leadership knew that a change was necessary, and they began an extensive search for the best ERP solution for their needs, with Sage Intacct rising to the top of the list.

“We all came to the same conclusion,” says Walker. “We saw all the different solutions, and everybody was very positive about Intacct, and we made the decision to move forward. The team liked what they saw with Intacct’s usability and versatility, and the variety of tools it provided. Plus, it is cloud-based, which was a goal of mine.”

Sam Rodgers selected RSM for the Sage Intacct implementation, and the two companies began working together to develop a comprehensive solution to meet the health center’s intricate visibility and reporting needs.

Establishing a more robust data foundation

With a deep understanding of the health care industry and regulatory requirements and extensive Intacct implementation experience, RSM developed a framework to leverage Intacct’s cloud-based automation capabilities to streamline Sam Rodgers' financial processes, improve operational efficiency and significantly reduce manual efforts. In addition, the RSM team delivered comprehensive dashboards and custom reporting that provided Sam Rodgers with deeper, real-time financial insights to support faster, data-driven decision making.

Walker reflected on the increased efficiency and productivity Sam Rodgers has experienced with Intacct.

In addition to the health center, Sam Rodgers recently began a $20 million expansion and started a new nonprofit organization as a separate entity to satisfy the IRS tax code requirements for the New Markets Tax Credit. As that project progresses, Sam Rodgers' leadership has also managed the new entity’s data and reporting requirements within Intacct.

“We have consolidated financial statements, including restricted funds on the balance sheet,” says Walker. “I don’t think I could have done that with what we used in the past.”

As a nonprofit organization, Sam Rodgers also has grants management requirements they must comply with. The Sam Rodgers team developed dashboards with real-time data to enable timely and accurate data delivery and reporting, so their employees can focus on achieving their mission.

“We have better grant reporting with Intacct,” says Walker. “We have the beginner grant project with the basic not-for-profit package, but that’s all we need right now. Looking to the future, we might expand on that, but for now, it has been a godsend to be able to report on grants at this level.”

Capitalizing on new functionality and AI

The Intacct platform continues to grow with the health center, with Sam Rodgers taking advantage of new functionality as needs evolve and new features become available. For example, Sam Rodgers is evaluating how to leverage enhanced accounts payable automation to streamline payment processes.

In addition, similar to many organizations, Sam Rodgers' leadership is looking closely at how artificial intelligence can optimize critical financial processes. The Sage Copilot generative AI finance assistant is integrated within Intacct, with benefits ranging from faster close times to identifying budget variances rapidly.

“I think Sage Copilot is really going to be a game changer, and it’s going to add some significant efficiencies,” says Walker. “I just really think the sky is the limit, and I’m really excited about where things are headed.”

Collaborating enables effective solutions

The successful Intacct engagement has established a strong working relationship between Sam Rodgers and RSM. Beyond implementation, RSM provided comprehensive Intacct training, and the Sam Rodgers team has the skills and abilities to be self-sufficient with the platform, with support from RSM as needed.

“Working with RSM has been outstanding,” says Walker. “Implementation went really quickly, and RSM was great with getting everything configured. If we have a little glitch—which we seldom have with Intacct—we have a response within an hour from the RSM support team with what to do, and then it takes two seconds to fix. So that has worked out very well.”

Getting employee weekends back

With Intacct in place and ongoing optimizations, Sam Rodgers is doing more with less and leveraging greater financial insight and more effective reporting capabilities. Employees can now accurately and efficiently get the data they need when they need it, and with Intacct, working on weekends to run necessary reports is a thing of the past.
